On Cards, you can create reminders (email and push notification), which are sent to your users.
Once configured, your reminders trigger automatically, depending on the time interval you have configured. Your users then receive an email with your message, as well as the link to the training to complete.
You can find all your created reminders, from the Notifications > Automatic Reminders menu.
You have three solutions to create a reminder:
either from the "Automatic calls" page and then "Create a reminder"
or from the edition of a training, via the "Reminders" tab
or from the edition of a routine, on a "training" type step.
In all 3 cases, the form is the same. The difference is that by going through the training editing page, your reminder will automatically be associated with the training in question. And by going through a routine, the reminder will be associated with the training, and the routine.
Here are the main fields on a reminder:
Title: you are free to define the title of your reminder. This title is only visible to editors, not users/learners. It is used to find the reminder more easily to associate it with several training courses.
Type: we offer 2 types of reminders:
"to start the training" (start): when checked, the reminder is sent to users who have not yet started the training at all (zero progress)
"to finish the training" (complete): when checked, the reminder is sent to users who have started the training but have not completed it entirely.
Status: allows you to activate the reminder when it is ready (as long as the reminder is in "draft", it will not be sent).
Custom message: to configure a custom message. This message is the body of the notification email sent to your users. You can leave it blank so that a default message is sent.
Advanced options allow you to configure your reminders more precisely:
Maximum number of reminders: this is the maximum number of times the reminder is sent per user.
Delay before the 1st reminder: number of days before the 1st reminder is sent. This delay is based on the date on which the user had access to the training. It is therefore possible that not all users receive the reminder at the same time.
Delay between reminders: number of days that will be waited before sending another reminder.
Reminder days: allows you to choose whether a reminder should only be sent on certain days of the week.
Reminder start date and Reminder end date: to choose whether reminders should only be sent during a certain period. You can fill in one or the other of the 2 fields, or both.
Reminder start time and end time: this is the time range over which reminders can be sent. The time check is based on the time zone configured on your space.
Active reminders for: allows you to choose whether a reminder should only be sent to a certain population. When the choice is on "certain users", you can then choose a group and/or a routine. Only members of this group or routine will then receive the reminder.
When you edit a reminder from the list of all your reminders, in addition to the form you will have access to the complete list of training courses where this reminder is used.
You can therefore, directly from this page, associate or detach training courses with the reminder.
When you edit a training, the "reminders" tab allows you to associate a reminder with the training, or to modify a reminder already associated.
If a reminder is associated with multiple trainings, you will receive a message indicating that the change will impact other trainings.
Since automatic reminders are associated with training courses, you can find them in your Learning Routines®.
On each "training" type step, a tag will show you whether one or more reminders are associated (or not) with the training course.
Click on the tag to display the window allowing you to create or select a reminder.
You can then create a reminder directly from the window if you wish. The reminder created will then be associated with the training, but also with the routine (in the advanced options, "Active reminders for" field). Thus, the reminder created will be specific to your routine. This allows you to be more precise in your personalized message if you wish.
Note: only active reminders for the routine are displayed on the tag. That is, reminders available to all users, and/or reminders that have the routine associated with them.
